Cloud Storage Connectors: How to Import Files from Google Drive

Hey there! 👋


Ever found yourself jumping between browser tabs — copying links from Google Drive, pasting them into TubeOnAI, then waiting for uploads? There's a better way.


Cloud Storage Connectors let you browse and import files directly from your Google Drive without leaving TubeOnAI. No more downloading files to your computer just to upload them again. No more hunting for share links. Just click, select, and summarize.


What Are Cloud Storage Connectors?


Cloud Storage Connectors are secure integrations between TubeOnAI and your cloud storage services. Think of them as a bridge that lets TubeOnAI access your files read-only — meaning we can see and import your files, but we can't modify or delete anything.

How It Works


  1. You authorize TubeOnAI to access your Google Drive (one-time setup)
  2. We securely store your encrypted credentials
  3. You browse your Drive files directly in TubeOnAI
  4. Select any supported file to import and summarize
  5. We download it temporarily, process it, then delete it


Security promise: We only request read-only access. We can't edit, delete, or share your files. You can disconnect anytime.


Step 1: Navigate to Cloud Storage Settings


Where to Find It


  1. Log in to TubeOnAI Web App
  2. Click Settings
  3. Click Connectors


You'll land on the Connectors page showing all available cloud storage options.


Step 2: Connect Your Google Drive


Starting the Connection


  1. On the Connectors page, find the Google Drive card
  2. Click the Connect button (blue button on the right)
  3. You'll be redirected to Google's OAuth consent screen


Authorize TubeOnAI


Google will show you:

  • What permissions we're requesting (read-only access to your Drive files)
  • Which Google account you're connecting
  • A security warning (standard for third-party apps)


What we can access:

  • View and download files from your Google Drive
  • See file metadata (names, sizes, types)


What we cannot do:

  • Edit or delete your files
  • Share your files with others
  • Access your emails, contacts, or other Google services


Click Allow to proceed.


Confirmation


After authorizing:

  • You'll be redirected back to TubeOnAI
  • A green success toast appears: "Google Drive connected successfully!"
  • The Google Drive card now shows Connected status with your email address
  • You'll see storage quota info (how much space you're using)


Pro tip: If you see an error instead, check that third-party app access is enabled in your Google Account settings.


Step 3: Import Files from Google Drive


Now that your Drive is connected, you can import files directly!


From the Unified Input


  1. Navigate to the TubeOnAI homepage or dashboard
  2. Find the input box where you normally paste URLs
  3. Click the cloud import (📁) under the input box
  4. A Google Drive file picker opens in a modal


Browse Your Files


The file picker shows:

  • Your Drive folders and files
  • File names, types, and modification dates
  • Preview thumbnails (for images and docs)
  • Folder navigation breadcrumbs


Browsing features:

  • Click folders to navigate inside
  • Use breadcrumbs to go back
  • Search by file name
  • Filter by file type
  • Sort by date or name

Select a File


  1. Click the file you want to summarize
  2. The file gets highlighted with a checkmark
  3. Click Import (bottom-right of the modal)
  4. The file downloads temporarily and appears in your input area
  5. TubeOnAI automatically detects the file type and starts processing


What happens next:

  • Documents (PDF, DOCX, PPTX) → Text extraction → Summarization
  • Videos (MP4, MOV) → Audio extraction → Transcription → Summarization
  • Audio (MP3, WAV) → Transcription → Summarization
  • Google Docs/Sheets/Slides → Exported to DOCX/XLSX/PPTX → Summarization


Supported File Types


Google Workspace Files (Auto-Exported)


  • Google Docs → Exported as DOCX
  • Google Slides → Exported as PPTX
  • Google Sheets → Exported as XLSX


These are automatically converted when you import them — no action needed!


Documents


  • PDF (.pdf)
  • Word documents (.doc, .docx)
  • Plain text (.txt)
  • Markdown (.md)
  • Subtitles (.srt, .vtt)

Presentations

  • PowerPoint (.ppt, .pptx)

Media Files


  • Videos: MP4, MOV, AVI, WMV
  • Audio: MP3, WAV, M4A


File size limits:

  • Documents: Up to 50 MB
  • Videos: Up to 2 GB (processed via audio extraction)
  • Audio: Up to 500 MB

Security & Privacy


How Your Data Is Protected


Encryption at rest:

  • Your OAuth credentials are encrypted using Laravel's built-in encryption (AES-256)
  • Stored securely in our database
  • Never exposed in API responses


Temporary downloads:

  • When you import a file, we download it temporarily to our server
  • Process it for summarization
  • Delete it immediately after processing
  • Nothing is kept long-term


Read-only access:


Token management:

  • Access tokens expire after 1 hour (Google's default)
  • We auto-refresh them using your refresh token
  • Refresh tokens don't expire unless you revoke access


Disconnecting Your Account


You can disconnect Google Drive anytime:


  1. Go to Settings → Connectors
  2. Click Disconnect on the Google Drive card
  3. Confirm the action
  4. Your credentials are permanently deleted from our database
  5. Your Google account revokes TubeOnAI's access automatically


Pro tip: You can also revoke access directly from Google Account Permissions.


Troubleshooting


"You denied access to Google Drive"


Root cause: You clicked "Cancel" or "Deny" on Google's consent screen.


Solution:

  1. Go back to Settings → Cloud Storage Connectors
  2. Click Connect again
  3. This time, click Allow on Google's screen


"Failed to connect Google Drive"


Root cause: Browser blocked the OAuth popup or third-party cookies are disabled.


Solution:

  1. Check that popups are allowed for web.tubeonai.com
  2. Enable third-party cookies (required for OAuth)
  3. Try again in an incognito/private window
  4. Clear browser cache and cookies


"Invalid security token. Please try again"


Root cause: The OAuth state parameter expired (happens if you wait >10 minutes on Google's consent screen).


Solution:

  1. Go back to Settings → Cloud Storage Connectors
  2. Start fresh with the Connect button
  3. Complete the flow within 5 minutes


"This file type is not supported"


Root cause: You selected a file type we can't process yet (e.g., .zip, .exe, Photoshop files).


Solution:

  • Check the Supported File Types section above
  • Try a different file (PDF, DOCX, MP4, etc.)
  • For Google Docs/Slides/Sheets, we auto-export them — select normally


"File too large to import"


Root cause: The file exceeds our size limits (50 MB for docs, 2 GB for videos).


Solution:

  • For documents: Split into smaller files or compress PDFs
  • For videos: Use TubeOnAI's URL input with YouTube/Vimeo links instead
  • For audio: Trim to <500 MB


Best Practices


💡 Organize your Drive — Keep files you want to summarize in a dedicated folder for quick access.


💡 Use search — Instead of browsing folders, use the search bar in the file picker to find files by name.


💡 Pre-export large Google Docs — If a Google Doc is huge (500+ pages), export it manually to DOCX first for faster processing.


💡 Check file types before importing — Not all formats are supported. Stick to PDFs, DOCX, PPTX, MP4, and MP3 for best results.


💡 Disconnect when done — If you only needed Drive access temporarily, disconnect after importing to maintain minimal permissions.


FAQ


Q: Can TubeOnAI edit or delete my Google Drive files?

A: No. We only request read-only access. We can see and download files but cannot modify, delete, or share them.


Q: What happens to files after I import them?

A: We download the file temporarily, process it for summarization, then delete it immediately. Nothing is stored long-term.


Q: Can I connect multiple Google accounts?

A: Currently, you can connect one Google Drive account per TubeOnAI user. To switch accounts, disconnect the current one and reconnect with a different account.


Q: Do you support Shared Drives (Team Drives)?

A: Yes! Files in Shared Drives appear in the file picker. You can import them just like personal Drive files.


Q: Will this work on mobile?

A: Yes! Cloud Storage Connectors work on mobile web browsers (Safari, Chrome). The native mobile app integration is coming soon.


Q: What if my Google token expires?

A: We auto-refresh expired tokens in the background. If refresh fails (e.g., you revoked access), the connector status shows "Expired" and you'll need to reconnect.
